Construction Project Coordinator: A Day in the life

Project Coordinators communicate, track, and organize work activities between the site, the office, the consultants and the clients by supporting project managers, schedulers, site superintendents and estimators. Successful project coordinators have a good understanding of construction sequences. They must also be clear and concise communicators and listeners for they must also be able to speak to anyone, get information promptly and make sure the right people know there is an issue before it becomes a problem! In this role, listening, note taking and prioritizing oneself is key, so make sure your supervisor knows you are all ears!

 

A day in the life of a project coordinator often looks like: (but is not limited to)

  • Tracking documents, and ensuring all stakeholders are using the same revisions.

  • Reaching out to trades and vendors for prices and quotations.

  • Breaking out quotes by line items and perform bid leveling analysis.

  • Support with the bid and tender processes including issuing letters of intent and general admin.

  • Process change orders.

  • Process Request for Information (RFI) and other legal documents.

  • Quickly check drawings and compare to site conditions.

  • Go to site to log and check on construction progress, lots of communication skills needed here.

  • Go to site and check on deficiencies as well as get times from responsible stakeholders as to when they will close out the deficiencies.

  • Listening during meetings, taking meeting minutes & notes, and then promptly distributing those notes to all stake holders.

  • Support the Site Superintendent and Project manager with updating the construction schedule and look ahead schedules.

  • Check on work completion before progress draws are paid out.

  • In some cases, Project Coordinators may also support accounts payable and account receivable activities and general admin.

  • Generally, take the weight off the PM’s shoulder on a project by project basis by doing what ever they say so they can focus on the bigger picture.
